Costs & rules
Log one-off and recurring expenses
Add one-off and recurring business costs in one place, alongside all your other cost rules.
Updated June 30, 2026
The Expenses page is one place to see every business cost that is not tied to a single order, like software, rent, platform fees, retainers, and insurance, alongside your other cost rules. You can add one-off and recurring expenses here. This is available on the Pro plan and up.
Steps
- Open Expenses (/app/expenses).
- Click Add expense.
- Give it a name if you like, for example "Klaviyo subscription". Leave it blank to use the expense type as the name.
- Pick an expense type: Platform (Shopify plan), Software, Marketing retainer, Rent, Insurance, Agency, Returns, or Other.
- Choose the fee type: Fixed amount, or Percentage of revenue.
- To charge it on every order instead of as a flat cost, tick "Charge to each order". Otherwise pick a frequency: One-time, Monthly, Yearly, Weekly, or Daily.
- Enter the amount, and a billing date if you want one. Leave the date blank to start from the beginning of the period.
- Click Add to save, or "Add and continue" to log several in a row.
What you should see
The expense appears in the table with its status, amount, type, frequency, and timing. Recurring and one-time expenses reduce your monthly profit, while per-order ones are subtracted from each order. Use the tabs (All, Per-order, One-time, Recurring) and the date range and channel filters to narrow the list.
Tip
The table also lists costs from your other pages, like salaries, marketing, payment fees, shipping, returns, and location handling, as read-only rows. Only one-time expenses can be edited or deleted here. For the rest, the edit icon opens the page where they are managed.
