Free events and RSVP registration

Let guests register for a free event on Shopify without a checkout: they confirm their spot, get their ticket by email, and no Shopify order is made.

Free registration lets guests sign up for a free event without a cart or checkout: they fill in their details, confirm, and get their ticket by email. No Shopify order is created. It is the app's RSVP option for talks, open days and other free events.

When an event can use it

Every one of these must be true:

  • every ticket type is priced 0
  • every ticket type has a group size of 1, and there are no bundle types
  • the event has no add-ons
  • refund protection is off
  • the event has no reserved seating
  • every ticket type is still linked to its Shopify variant, and the product is active in Shopify

If the event does not qualify, switching it on is refused with "Free registration requires individual free tickets without add-ons, refund protection or reserved seating."

If the event stops qualifying later, for example after you add an add-on, the switch stays on. The store then quietly uses the normal cart and checkout for that event.

Turn it on

  1. Open the event's settings and go to the Attendee information tab.
  2. In the Free registration card, switch on Enable free registration.

You see "Free registration setting saved". The switch is off by default. It is not on the Create event page, and duplicating an event does not copy it.

On a series, set it on the main event and every date follows. On a single date the switch is greyed out, with Open main event settings.

What the guest sees

  1. The product page button reads "Get your free ticket", and the theme's quantity selector is hidden.
  2. The popup asks for "First name", "Last name", "Email", "Phone" if your event uses it, and your own questions. Its stepper sets how many tickets.
  3. The guest clicks "Confirm your spot".
  4. A review step titled "Confirm your spot" shows the event, date, ticket type and "1 free ticket · No payment required", then the guest's details. The buttons are "Back to details" and "Get tickets".
  5. The success screen says "You're in" and "Your ticket has been sent to" the guest's email, with "Done" and "Open your ticket".

The popup is used even when the event normally takes attendee details from the order. When one-name booking is on for the event, a group can tick "Book all tickets under one name".

Groups

A guest can register several tickets at once. The cap per registration is:

  • the event's per-order limit, when the limit covers all tickets
  • the ticket type's own limit, when limits are set per type
  • otherwise 10

It is never more than 50. Asking for more shows "You can register up to 10 tickets at a time.", with your cap in place of 10. Limits are set under Ticket limits on the event's Tickets tab.

Cooldown and protection

One email address can register once per date every 10 minutes, across ticket types and browsers. A second try shows "You have already registered with this email for this date. Please wait 10 minutes before registering another ticket." Deleting the ticket does not lift the cooldown.

There is no captcha and no email check. Protection comes from the review step, the cooldown, limits per visitor, the date's capacity and your monthly allowance. At busy moments guests may see "We are busy right now. Wait a moment, then confirm again."

Capacity and full dates

Each date checks its own ticket type stock or shared pool. A ticket type with stock 0 has no cap, so that date never fills.

If the date fills before the guest confirms, the review step shows "This event is full."

With the waitlist on, which is the default for new events, a sold-out event or date shows "Join the Waitlist" instead. See the waitlist.

Registration also closes when the date has ended, when sales are paused or coming soon, and when the event is hidden or archived.

The ticket and emails

The guest gets the event's normal ticket confirmation email, with its design, QR code and PDF if you attach one. It comes from your Sender name within moments. Online events get their Zoom meeting first when you use one.

A group follows the event's ticket delivery setting, like a paid order. "Book all tickets under one name" always sends one email with every ticket. The event's reminder emails go out as usual.

Guests can change their name and email on their ticket page. When the event lets customers change their date, they can move to another date there too. Guests cannot cancel a free ticket themselves.

On the guest list and at the door

Free tickets appear on the Attendees tab with "Free registration" in the Order column. They count on the dashboard and at check-in like any ticket.

They do not appear on the Orders tab. A group prints as separate lines on the printable guest list, and the door gets no "Group of" hint for it.

At the door, free tickets scan with the same QR scanner as paid ones. Typing an order number does not find them, because they have none. A date with 2,000 or more tickets opens the check-in page in door mode, with counters, the latest 25 scans and a name search. See check in with any phone.

To cancel a free ticket, use Cancel ticket on the Attendees tab. The place goes back on sale and the waitlist is emailed.

Your monthly ticket allowance

Every free ticket uses one ticket of your plan's monthly allowance, exactly like a paid one. A group needs room for all of its tickets, or none are created.

When the allowance is used up, the product page shows "Tickets temporarily unavailable" and "Please contact the event organizer for assistance." and the button is disabled. A guest who hits the cap mid-way sees "Free registration is unavailable for this selection."

Cancelling or deleting a free ticket does not give it back to the allowance. Details are in plans and pricing.

What free registration does not do

  • No Shopify order, customer record or Shopify report, and no Shopify order confirmation email.
  • No Ticket purchased Flow trigger, and nothing is sent to Klaviyo or Mailchimp.
  • In Analytics, free registrations are filed under Imported in Booking sources.
  • No paid extras: add-ons, refund protection, bundles, group-size types and reserved seating rule an event out.
  • No approval step. Every valid registration is accepted at once.
  • No self-cancellation by guests.

Frequently asked questions

Does free registration create a Shopify order?

No. There is no cart, checkout or Shopify order. The app creates the ticket and emails it straight away, so free registrations do not show under Orders or Customers in Shopify.

How many tickets can a guest register at once?

Up to 10 by default. If the event has a per-order ticket limit, that limit is the cap instead, never more than 50 per registration.

Do free tickets count toward my monthly ticket allowance?

Yes. Every free ticket uses one ticket of the allowance, exactly like a paid one. A group needs room for all its tickets, or none are created.

Why does my free event still send guests to checkout?

The event no longer qualifies, for example because an add-on or a paid ticket type was added. The switch stays on, but the store falls back to the normal cart and checkout until the event qualifies again.
