Pause, hide, archive, duplicate or delete an event

Pause ticket sales, announce an event as upcoming, hide, archive, duplicate or delete an event in Easy Tickets & Events, and what each one does to sold tickets.

Every event can be paused, announced as upcoming, hidden, archived, duplicated or deleted from the app. This page explains each action and what it does to the Shopify product and to tickets already sold.

Where the controls are

  • The Events page lists your events. Each row has an Active switch and an Actions menu with Duplicate, Deactivate or Activate, Set as upcoming, Pause ticket sales and Archive.
  • Tick one or more rows to get the bulk bar: Activate, Deactivate, Archive and Delete.
  • On an event's own page, the More menu at the top has the same actions except Duplicate and Delete.

Set as upcoming and Pause ticket sales are only offered while the event is visible and not archived. An archived event offers only Restore.

These actions work on a whole event or series. A single date of a series is cancelled or restored on its Time slots tab instead, as described in recurring events and time slots.

The Events list shows a status badge for each: Active, Draft, Upcoming, Sales paused or Archived.

The paused, upcoming and ended states are drawn on the product page by the Easy Tickets Popup app embed, so keep that embed switched on.

Activate and Deactivate

Deactivate sets the product to Draft and hides the event in the app. Activate sets it back to Active. On a series, the change reaches every date.

Set as upcoming

Use it to announce an event before tickets go on sale. The product page stays live and shows an "Upcoming" note: "Tickets for this event are not on sale yet. Please check back soon." A series lists its dates without letting anyone buy.

On the Events page block the card gets an "Upcoming" pill and "Tickets available soon" in place of the ticket button. The event cannot be sold at the till. Choose Remove upcoming status to open sales.

Pause ticket sales

Use it to stop sales for a while and keep the page up. The date, venue and description stay visible, and the buy button reads "Ticket sales are paused". On a series, that message sits where the date picker would be. The till cannot sell the event either.

The Events page block does not mark paused events. Their cards still show the ticket button. Choose Resume ticket sales to reopen.

Archive and Restore

Archive sets the product to Draft, hides the event and moves it to the Archived view. Its guest list, check-ins and analytics stay.

Restore brings it back to the working list but keeps it inactive on purpose. Press Activate when you want it on sale again.

Ended events

An event ends by itself once its end date has passed in your shop's time zone. Sales stay open for the whole last day. A series ends when it has no upcoming visible date left.

After that the buy button reads "Event ended", the till stops selling it and the home page's Coming up list drops it. If you placed the Expired Events block, its message appears. The Events page block hides the event unless Show past events is on.

The product stays Active and the Events list still shows the event as Active. Nothing is archived automatically.

Schedule an on-sale or off-sale time

There is no screen to set a time when sales open or close by themselves. Use Set as upcoming before sales open and remove it by hand when they start. Use Pause ticket sales, or Deactivate, to close sales.

Keep an event off your events page

Deactivate hides an event everywhere. To keep an event on sale but out of your Events page block, use tags. Tag the events you want to list, then fill in Show only events with these tags in the block's settings in the theme editor.

Duplicate an event

Duplicate is in a row's Actions menu on the Events page. It opens the Create event form filled in from the original, with the banner "Duplicating" plus the event name and "pick new dates". The name gets "(copy)" at the end. Nothing is created until you save.

What comes across:

  • The description, event type, times, location, ticket types, add-on groups and refund protection.
  • Waitlist and button settings, the email delivery mode and check-in on or off.
  • After saving, the email, PDF, popup and ticket page designs, reminder and follow-up settings, attendee questions, ticket limits, tags and translations.

What does not:

  • The dates. You pick new ones.
  • The event image, the check-in PIN (a new one is made) and the promo code with its dates.
  • Upcoming and paused status, the Zoom meeting and the seat map.
  • Attendees, waitlist entries and free registration.

A copy starts with Visible on store off. If some settings do not come across, the new event's Dashboard says "Event created. Some settings from the event you copied did not come across. Check this event's settings."

A single date of a series cannot be duplicated from here. Use Duplicate on the Time slots tab.

Delete an event

Deleting is permanent. For a one-time event, deleting deletes its sold tickets, its attendee list, its check-in history and its Shopify product. Deleting a recurring series removes only the series: its dates and their tickets stay in the app. The refusal checks below do not look at those dates.

  1. On the Events page, tick the event's row.
  2. Press Delete in the bulk bar. In the Archived view the button is Delete permanently.
  3. The popup "Delete events?" repeats what will be removed. Confirm with the delete button.

Deletion is refused when:

  • Seats are in checkout or booked: "Resolve the seated purchases first."
  • Class-pass bookings exist: "Cancel the class pass bookings first so their credits go back."

Before you delete:

  • Export the guest list if you may need it. The Attendees tab has Export CSV, covered in the guest list.
  • Deleting refunds nobody. Refunds are made in Shopify.
  • Deleting does not give tickets back to your monthly ticket count.

There is no undo and no trash. Archive the event instead if you want to keep its history.

Editing the product in Shopify admin

The event's product is an ordinary Shopify product, and the app reacts when you change it there.

  • Title - becomes the event name in the app.
  • Status - Active makes the event visible in the app. Draft, Archived or Unlisted hides it. Archiving the product in Shopify does not archive the event.
  • Variant title and price - copied onto the matching ticket type.
  • Variant stock - ignored, so the app's capacity is not overwritten.
  • A variant you add in Shopify - does not become a ticket type.

The description is not copied back. The next time you save the name or description on the Event details tab, the app overwrites both the title and the description in Shopify.

A variant deleted in Shopify

If a ticket type's variant is deleted, the event page shows "These tickets can't be bought right now" with a Reconnect tickets button. The home page lists the event, and you get one email: "Action needed: tickets for" the event "can't be bought right now". Shoppers see those tickets as "Currently unavailable". The product deleted in Shopify

If the event has tickets, the app archives it and shows "The Shopify product for this event was deleted". Tickets already sold still scan at check-in, and nothing more can be bought. To sell again, create a new event.

If the event has no tickets at all, the app deletes the event too.

Frequently asked questions

Can I schedule when ticket sales open or close?

No. There is no screen for an on-sale or off-sale time. Use Set as upcoming to show the event before sales open and Remove upcoming status when they do. Use Pause ticket sales to stop sales by hand.

What is the difference between pausing and deactivating?

Pause ticket sales keeps the product page fully visible, and the buy button reads "Ticket sales are paused". Deactivate sets the Shopify product to Draft, so the event leaves your store, the events page and the till.

What happens to sold tickets when I delete an event?

For a one-time event, yes. They are deleted with it, together with the guest list, check-in history and the Shopify product, and it cannot be undone. Deleting a recurring series removes only the series. Its dates and their tickets stay in the app, so cancel or delete the dates first, or archive the event instead.

Does an event close by itself after it ends?

Sales stop by themselves. After the last day, the buy button reads "Event ended" and the till stops selling it. The Shopify product stays Active and the event is not archived, so archive it yourself when you want it out of the list.
