Emails, tickets and design
PDF tickets
Design the printable PDF ticket for a Shopify event, choose the Digital layout or the Physical ADMIT ONE ticket, and decide whether the PDF is attached to the email or linked.
Updated September 24, 2026
A PDF ticket is the printable version of each ticket, with its QR code, that customers download or get attached to their email. You design it per event in the PDF ticket editor.
Where to find the editor
Open the event, then Event settings, the Tickets tab, Ticket designs, and Customize on the PDF ticket card. The page is called PDF ticket editor.
The card's Actions menu has Preview only. The PDF has no code editor and no test send.
Digital and Physical
On the Classic design, Preset switches between two layouts. Each keeps its own draft, so switching back restores what you had.
Digital ("Document-style, A4"):
- Five blocks you can reorder and hide: Branding, Event Info, Ticket Stub, Order Details and Notes.
- Ticket Stub prints the QR code, ticket code, attendee name and ticket type, each with its own toggle.
- QR code size: Small, Medium or Large in a side column, or Full width (centered). Medium is the default.
- Add block offers Plan your visit, Good to know, Questions? and Text. PDFs take text only, with no images or columns.
- Global settings has the logo, Accent color, the title and body text colours, Title size (6 to 72 pt, default 20) and Body size (4 to 36 pt, default 11).
- Page size is set in inches. The default is A4, 8.27 by 11.7 inches.
Physical ("Horizontal ticket, landscape"):
- A 3.5 inch tall ticket band across the top of a portrait A4 page, with a dashed cut line and a scissors mark below it.
- Three fixed areas you cannot move or hide: Branding, Event Info and Ticket Stub. The stub on the right holds the QR code behind a perforation.
- Default wording you can change:
- "PASS" in the branding area
- "YOU ARE INVITED" on the top bar
- "GUARANTEE ACCESS TO ALL LEVELS" on the bottom bar
- "ADMIT ONE" on the stub
- Default colours: gold bars and border on a near-black background, each one adjustable.
- No Notes block and no page size setting.
The five newer designs have no preset switch. Their PDF is always the digital, section-based layout with the design's own colours and typography. They add a banner image, brand name and tagline, icon pickers and Practical information columns, covered in design themes.
Preview
- Sample attendee sets the first and last name the preview is drawn with, plus Row and Seat on the newer designs. Nothing you type there is saved.
- Preview PDF on Classic, or Open saved PDF on the newer designs, opens the real PDF of the last saved design. Save first to see your latest changes.
The PDF is built each time it is opened
The app builds the PDF from the event's saved design every time someone opens the link. A saved change, including a switch from Digital to Physical, also changes tickets already sold.
A PDF attached to an email is built when the email is sent and keeps that look.
- A cancelled or refunded ticket's PDF link answers "Ticket is no longer active".
- A ticket waiting for a date has no PDF.
Attached or linked
Attach PDF to email is on the event's Emails tab, in the Email delivery section. It is off by default.
- Off: the email links to the online ticket page, which has a Download PDF button.
- On: each ticket's PDF is attached, one file per ticket. The switch warns that attachments can affect deliverability and spam filtering.
If a PDF cannot be built at send time, the email goes without it. The other email settings are in the email settings article.
Where customers get the PDF
- The ticket email, as an attachment, when Attach PDF to email is on.
- The online ticket page's Download PDF button. Hide it with the PDF download toggle in the page's QR & Downloads block.
- The checkout thank-you page and the customer account order status page, with a Download PDF ticket button per ticket. Two switches on the event's Checkout tab control this: Show ticket downloads on thank-you page and PDF download. Both are on by default.
At Shopify POS, Print tickets prints a separate sheet with one page per ticket and a QR code. It does not use the PDF design. See Shopify POS. The Shopify admin order page has no PDF download.
The QR code
The PDF carries the ticket's check-in QR code, drawn into the file, and it scans at the door like any other copy of the ticket. The single-ticket email shows the same QR code as an image the app hosts, so email apps that strip embedded images still show it.
Fonts and fixed parts
- You cannot choose a PDF font. PDFs print in Helvetica.
- A ticket in a language outside Western European letters prints in Noto Sans. On a Helvetica ticket, a single name Helvetica cannot print, such as a Polish or Greek name, is drawn in Noto Sans.
- Conference headings print in Times Bold.
- Classic PDFs always print a small "Powered by Easy Tickets & Events" line at the bottom. The newer designs do not.
- A downloaded PDF falls back to your shop logo. A Classic PDF attached to an email does not, so set the logo in the PDF editor if you attach PDFs.
- On an online event the location reads "Online event", with the join link printed as text and the note "Your join link is in your ticket email. Open your ticket online to find it there too." The meeting passcode is never printed.
What the PDF does not do
- There is no Apple Wallet or Google Wallet pass.
- The QR code is the only code format; there are no barcodes.
- Physical is a ticket-shaped band on a portrait page. There is no landscape page.
Frequently asked questions
Does changing the PDF design change tickets I already sold?
Yes. The PDF is built from the event's saved design every time someone opens it, so the next download shows your latest version. A PDF already attached to a sent email keeps the look it had when it was sent.
Can I choose the font on the PDF?
No. PDFs print in Helvetica. A ticket in a language Helvetica cannot print, and any single name it cannot print, switch to Noto Sans on their own.
Is the PDF attached to the ticket email?
Only when you switch on Attach PDF to email on the event's Emails tab. It is off by default. The email then links to the online ticket page, which has a Download PDF button.
