Filling in many products at once from a file

The CSV columns the import accepts, which are optional, how rows are matched to products, and what happens to rows that do not work.

Import is on Pro. It fills in many products in one go.

One SKU per product is enough

Materials are saved on the product, not on each variant. A SKU belongs to one size or colour, but the label belongs to the whole product, so a row naming any one of a product's SKUs fills in all of them.

So a spreadsheet exported one row per variant works fine. Fill in materials on any one row of a product and the other rows of that product can leave that cell empty. Rows naming SKUs from the same product are put together before anything is written, and what comes back is counted in products, not rows: 400 rows covering 90 products reports 90 saved, with a line telling you how many rows covered how many products.

Where two of those rows fill in the same cell with different text, the app keeps one and tells you which row it took rather than deciding in silence.

The two columns you need

  • One named SKU or Barcode, used to match rows to your products
  • One named Composition or Materials, holding text like 80% cotton, 20% polyester

Columns the app does not recognise are ignored, so you can upload an export you already have without deleting its Title and Vendor columns first.

The optional columns

Every column below is optional. Leave a whole group out of your file and that product keeps what it already has - an import of materials never wipes care, tags or safety details you typed in by hand.

Inside a group it works differently, and this is the one to watch. Care, care notes, tags and safety are each stored as one block. As soon as the file fills in any care cell for a product, that product's five care values are rewritten from what the file says, so a file giving only Washing clears the drying and ironing you had set. Same for safety: giving only Maker's name clears the other five. A filled Tags cell replaces the product's whole tag list, and a filled Care note replaces the note in every language. So either carry the whole group for that product or leave it out of the file.

The five care columns take the same choices as the dropdowns on the product page. Type the wording you see there, or the wording in the example file. Spacing, capitals and full stops do not matter, and any of the app's six languages works, so Maschinenwäsche, max. 30 C is read the same as Machine wash, max 30C.

A single column named Care is not accepted, and the import will tell you so. Care is five choices rather than a sentence, because a choice can be written correctly in all six languages and a sentence cannot. Your own words go in Care note.

Keep the care note to one short line. It gets a single line under the care rows on your product page, and the import tells you if it is too long.

To show the care note in more than one language, add Care note (de), Care note (fr) and so on. The unsuffixed Care note column is your store's own language. Extra languages appear on the storefront on Pro.

Getting the columns right

There are two example files on the Import page, and the difference matters:

  • Download an example file gives you the plain one: two columns, three rows, nothing else. Start here.
  • Download one with every column gives you the full reference: all fifteen columns, a row using all of them, a row using some, and a row using none.

The plain one is the default because most merchants are filling in materials and nothing else, and a file opening with fifteen columns is a manual rather than an example.

Both downloads sit inside the Import section, so they are only available on Pro.

A line starting with # is treated as a note and skipped, so you can leave comments in your own file if you want them.

Two cells need quotes around them, and the full example already does this:

  • Materials, because the text contains commas
  • Any care choice containing a comma, such as "Machine wash, max 30 °C"

If your file separates columns with semicolons rather than commas, which is what a European spreadsheet often produces, put quotes around the Tags cell too: "Vegan;PFAS-free".

Rows that do not work

Nothing half-saves. Each row is checked before anything is written, and rows that fail are listed back to you with the row number and the reason. The usual ones are a material name that is not allowed, percentages that do not add up to 100, a care choice we do not recognise, or a SKU that matches no product.

A row can also fail because the product is not in the app yet. Use Bring in products on the Products page first.

Importing puts the products on your store

An import does not stop at filling values in. Everything in the file that ends up complete goes on your product pages in the same run, the way a save on a single product does.

Only the products in the file, though. Anything you filled in earlier that is still not showing stays where it is - open that product and save it, or put it in your next file.

If some of the products are saved but do not reach your store, the import says how many, gives the reason your store sent back, and offers a button to them. They also sit under Could not be shown on the Products page.

What the import cannot do

It cannot empty one value on its own, and an empty cell does not always mean "leave this alone" - that depends on the group, as The optional columns above explains. An empty cell in a group your file fills in elsewhere is cleared; an empty cell in a group your file leaves out changes nothing. To remove one value and keep the rest of its group, open the product and clear it there.

Recent imports

Your last 20 imports are listed with how many went in, how many needed attention, and the first thing to fix.

An import that stopped before it finished - a closed tab, a lost connection - says Did not finish rather than a count, because some of its products may already be saved and some may not. Import the file again: rows that already worked are simply written with the same values.

If nothing at all went in, the message names the first problem. When the column names were the problem that message is all you get, because it is one thing to fix for the whole file. When the rows were the problem, every row still comes back with its own reason.
